
Position Overview
The Director Program and Logistics is responsible for the seamless execution of Chamber programs and events, with a strong focus on logistical planning and coordination. This role involves managing most aspects of event logistics, program scheduling, vendor relations, and ensuring efficient and effective program delivery to enhance member engagement and support the Chamber's mission.
Key Responsibilities
Program Management

Assist in the planning and development of Chamber programs and events, including networking mixers, professional development seminars, community fairs and community outreach initiatives.

Manage program timelines, track progress against goals, and coordinate with internal teams and external partners to ensure successful program implementation.

Gather and analyze feedback from program participants to identify areas for improvement and inform future program development.
Logistical Planning and Execution

Coordinate logistical aspects of Chamber events and programs, including venue selection, catering arrangements, transportation, and accommodations.

Understands event budgets, track expenses, and ensure cost-effective resource allocation.

Coordinate with vendors, suppliers, and contractors to ensure timely delivery of goods and services.

Create detailed event timelines, checklists, and operational plans to guide event volunteers.
Vendor and Supplier Management

Identify and evaluate vendors and suppliers based on quality, price, and reliability.

Maintain strong relationships with vendors and suppliers to ensure seamless collaboration and support.

Monitor vendor performance and address any issues or concerns in a timely manner.
Event Coordination and On-Site Management

Manage on-site logistics during events, including setup, registration, attendee management, and breakdown.

Provide support and guidance to event volunteers to ensure smooth event operations.

Troubleshoot any issues or challenges that arise during events and implement effective solutions.

Ensure compliance with safety regulations and guidelines at all events.
Strategic Support

Regularly evaluate program metrics to ensure alignment with organizational goals.
Qualifications

Bachelor’s degree is desired in business administration, hospitality management, event planning, or a related field (or equivalent experience).

3+ years of experience in program management, event planning, or logistics coordination.

Proficiency in project management software and Microsoft Office Suite.

Strong organizational skills with meticulous attention to detail.

Excellent communication and interpersonal skills, with the ability to interact effectively with diverse stakeholders.

Ability to multitask in a fast-paced environment while meeting tight deadlines.
Preferred Skills

Certified Meeting Professional (CMP) or other relevant certification.

Experience with event registration software and online ticketing platforms.

Knowledge of local vendors, suppliers, and event venues.

Ability to work successfully within a team.
